The Wings Center: Executive Administrator

Eagle Ranch is now hiring an Executive Administrator for its newest facility, The Wings Center. Position to begin immediately.

REPORTS TO: Founder

EMPLOYMENT CLASSIFICATION: Full-time. Non-exempt.

PURPOSE OF THE POSITION:

The Executive Administrator provides administrative support for the Founder and Wings Center Directors, handles mail and email correspondence, greets people who enter The Wings Center, answers and directs phone calls, manages calendars and schedules appointments, handles billing insurance, and manages the office.

PRIMARY DUTIES OF POSITION:

1. First line of communication with public (i.e. greets everyone who enters the building, answers and directs phone calls, answers and directs email inquiries).

2. Provides administrative support to the Founder and Wings Center directors as needed. Transcribes dictation and manages email and mail correspondence as necessary.

3. Manages the Founder’s calendar and keeps appointment book up to date.

4. Helps develop and manage the overall calendar for The Wings Center. Schedules appointments, retreats, meetings, and other events as needed.

5. Manages therapists’ calendars (schedule or reschedule appointments as needed, confirm appointments, and other support as needed).

6. Manages the waiting area and makes families and visitors feel welcome. Ensures all counseling rooms are clean and available for use.

7. Assists in coordination of hospitality with hospitality manager for meetings, retreats, and events.

8. General office management (maintains office supplies, reports needed repairs to appropriate staff or vendors, etc.).

9. Assists with client insurance billing. Helps collect and track payments for counseling services, retreats and other Wings Center events.

10. Helps coordinate meetings and events with strategic partners.

11. Supports integration with Eagle Ranch through communication with key Eagle Ranch staff.

12. Maintains client confidentiality.

13. Performs other duties as assigned by the Founder.

REQUIREMENTS:

  • Bachelor’s degree preferred.
  • Prior experience in a similar role preferred.
  • Excellent written (grammar and spelling) and verbal skills.
  • Portrays professional image.
  • Ability to multi-task and prioritize.
  • Computer proficiency in Microsoft Word required; proficiency in Excel and PowerPoint preferred.
  • Typing ability of 60 WPM with accuracy.
  • Excellent project management skills.
  • Data entry experience preferred.
