Program Services Analyst

Eagle Ranch is now hiring a Program Services Analyst

REPORTS TO:  Clinical Trainer/Case Supervisor

EMPLOYMENT CLASSIFICATION:  Full-Time.

PURPOSE OF THE POSITION: The Program Services Analyst manages, analyzes, and coordinates current and historical data for the Eagle Ranch program; tracks and reports measurement data, survey data, and graduation criteria; works with staff to assist in families’ transition out of the program; provides resources and coordinates post-program aftercare for families.

Education and/or experience in a counseling or social work setting is preferred as this position will work with gathering and analyzing data from our outcome measurement tools, which include:

  • Y-OQ SR 2.0

PRIMARY DUTIES AND RESPONSIBILITIES:

Measurements:

  • Sends intake measurements to families after their acceptance into the Eagle Ranch program.
  • Sends measurements to Eagle Ranch families every 6-months in treatment and up to 6 months after treatment has ended.
  • Reports individual Y-OQ data to the team at intake and Case Manager before Treatment Plan check-ins every 6 months in the program.
  • Sends and tracks exit surveys for all families transitioning out of the program.
  • Sends and tracks family satisfaction surveys at 6 months and 18 months; updates these surveys in collaboration with the Director of Communications.
  • Manages program measurements for all children and families for the purpose of formulating data, tracking progress, and analyzing trends.
  • Maintains and Reports data on the efficiency and effectiveness of the therapy program based on the measurement data.
  • Updates the Director of Communications, Senior Director of Program, and Executive Director with overall measurement data.

Graduation Criteria:

  • Manages current graduation criteria.
  • Works with case manager to track individual progress with the graduation criteria through Treatment Plan Check-ins, Annual Evaluations, and Graduation Evaluations.

Graduation Process:

  • Review and incrementally update the graduation process as needed.
  • Collaborates with Counselors to determine, by the end of January, which families are transitioning from the program in May.
  • Collaborates with Counselor, Houseparents, Program Assistant, and Academic Support Coordinator to determine if the child/ family will graduate or complete the Eagle Ranch program by sending and compiling evaluation reports.
  • Updates the Senior Director of Program and Director of Communications with the graduation status of families.
  • Conducts exit meetings with Academic Support Coordinator to communicate with families about Continued Care services and to assist in transition out of the program.
  • Sends personalized exit packets to families leaving the program.
  • Coordinates with Eagle Ranch photographer and family to schedule photo sessions for graduate families. Orders picture frames for graduates and coordinates staff signing the picture frame.

Aftercare Coordination:

  • Review and incrementally update aftercare services as needed.
  • Develop a process and services that best support clients in their transition home.
  • Coordinates 3 parent groups with childcare for families who have just left the program.
  • Communicates reminders for parent groups and family insight nights for up to 1-year after a family transitions out of the program.
  • Develop monthly e-newsletters for families in aftercare through the end of the calendar year that the family leaves.
  • Coordinates with Creative Brand Manager to ensure e-newsletters are staying on brand with Eagle Ranch.
  • Supports the admissions process as needed.
  • Performs other duties as assigned by the Senior Director of Program.

Research and Longitudinal Studies:

  • Follow up with former Eagle Ranch residents to track progress after completing the program.
  • Analyze and manage longitudinal and historical data.
  • Discover and analyze trends in measurement data.
  • Report areas of growth and strength for the program to the Senior Director of Program, Director of Communications, and the Executive Director.

EDUCATION AND EXPERIENCE:

Education and Experience:

  • A minimum of a bachelor’s degree in the field of social work or psychology is preferred.
  • A minimum of two years of experience in analyzing and coordinating current and historical data/trends.
  • Some experience in a counseling or social work setting is preferred.
  • A minimum of two years of experience coordinating services.

Technological:

  • Able to manage the BestNotes database and have a working knowledge of Microsoft Office.
  • Good communicator. Must be personable and able to present data/trends.
  • Able to manage multiple tasks simultaneously.
